This is an official statement of University
policy relating to reserving and rental of University facilities
effective January 1, 2000.
Scheduling an event may be accomplished through the office
of scheduling located on the third floor of the Memorial Student
Center, Room 307, phone (903) 886-5809. Space may be scheduled
according to the availability. It is the responsibility of the
Office of Scheduling to make the final determination on all
requests for scheduling.
All scheduling of events must be made in person or by phone.
E-mail requests will not be accepted.
Priority for scheduling in the Memorial Student
Center is as follows:
First Priority - University recognized student
organization.
Second Priority - University departments,
affiliated groups and professional educational organizations
(sponsored and hosted by an academic or administrative department
of the University).
Third Priority - Non-University groups to
include duly recognized or chartered community, state or national
service or honorary organizations.
Priority for Scheduling in Academic Buildings
First Priority - Academic department(s) housed
in the building.
Second Priority- Academic department(s) and
university affiliated groups, sponsored by the faculty or administration
of the department.
Third Priority- University approved student
organizations and service organizations.
Academic Buildings: Non-class events must
be scheduled through the Office of Scheduling to coordinate
with the University Police Department and University Maintenance
Department and to assure that the event is placed on the University
Calendar of events. The Office of Scheduling is located in the
Memorial Student Center on the third floor, Room 307, or call
(903)886-5809.
Damage incurred to equipment or facilities:
The recognized student or organization, university department,
or sponsoring party is responsible for the behavior of members
and guests, and for leaving the assigned space neat and orderly.
Failure to adhere to these responsibilities may result in legal
action, restitution for damages, disciplinary action and loss
of scheduling privileges.
Alcohol Permit
Alcohol Request must be approved through the Office of Scheduling
in the Memorial Student Center prior to the scheduling of alcohol
servicr, for all events held on campus . All University guidelines
related to the serving of alcohol must be strictly followed.
University Activities
Any University recognized Student Organization scheduling special
social functions must receive approval with a confirmation from
the Office of Scheduling. This refers to dances and socials
which guests are invited to attend and must be submitted at
least 7 working days prior to the event (if officers are required).
Permission to Sell on Campus
The Office of Scheduling is responsible for approving all recognized
Student Organizations and University Departments wishing to
sell on campus. The University Solicitation Committee may review
any request prior to approval. Proceeds of all such sales must
be for the benefit of the specific Student Organization or Department
unless approved otherwise by the Office of Scheduling.
Memorial Student Center Activity Tables
Recognized Student Organizations & University Departments
may schedule with the Office of Scheduling a table in the area
of the Bookstore Foyer for the purpose of promoting their Organization
or Department. Such reservation are limited to three (3) days
in the same week. The Office of Scheduling may exempt this limitation
in accordance with space availability.
Memorial Student Center Showcase
Recognized Student Organizations & University Departments
may schedule with the Office of Scheduling the large showcase
on the second floor of the Memorial Student Center next to the
Leadership Lounge. The showcase may be scheduled for a maximum
of one week each semester. The Office of Scheduling may provide
exception to the policy in accordance with the availability
of space.
Classes and Lectures
Credited classes, lectures or laboratories may not be scheduled
in the Memorial Student Center. Special projects requiring special
space and arrangements may be held in the Memorial Student Center
by approval from the Office of Scheduling.
University Auditorium and Memorial Student Center Ballrooms:
Recognized Student Organizations and University Department may
schedule with the Office of Scheduling the University Auditorium
and the Memorial Student Center Ballrooms. The University Auditorium
is scheduled only for major University events where a significant
participation is expected (minimum 200).
Decorating in the Memorial Student Center/ University
Auditoriums:
The Office of Scheduling is responsible for approving all decorating
requests for the Memorial Student Center and the University
Auditorium.
Food service Events
The University Dining Service has exclusive right for the serving
of food on campus. All events requiring food service, to include
the serving of refreshments for meetings, must first schedule
with Office of Scheduling. After the completion of such scheduling,
the sponsoring party should contact the University Dining Services
for all food arrangements. The University Dining Service is
located on the first floor at the west foyer entrance to the
