PURPOSE OF POSITION:
Compiles data and maintains records of University transactions and firmly incorporates office activities. Files records in alphabetical or numerical order, or according to subject matter or other system.
ESSENTIAL FUNCTIONS:
1. Tabulates
and posts data in proper record books, files, or other areas for future use.
2. Computes
information for recording and reporting purposes. Updates information
periodically for accuracy.
3. Acts
as receptionist by greeting and assisting visitors, patrons, students, staff,
claimants and sales personnel. Gives information to and interviews students,
visitors, patrons, claimants, staff, and sales personnel.
4. Performs
clerical assistance such as inventory control, file maintenance, retrieval of
information as requested, answers question in person
or over the telephone, inventory security and proofing correspondence, reports,
and general department correspondence.
5. Prepares,
issues, and distributes receipts, bills, policies, invoices, statements, and
checks.
6. Operates
computer terminal to input and retrieve data.
7. Operates
office machines such as typewriter, adding machine, media machines,
calculating, and duplicating machines. May provide orientation to others with regard to such office
machines.
8. Opens
and routes incoming mail, answers correspondence, and prepares outgoing mail.
9. Reads
incoming material and sorts according to file system.
10. Places
cards, forms, microfiche, or other material in storage receptacle such as file
cabinet, drawer, or box.
11. Searches
for and investigates information contained in files, inserts additional data on
file records, completes reports, keeps files current, and supplies information
from file data or removes files upon request.
12. Keeps records of material removed, stamps material received, traces missing files, and types indexing information on folders.
13. Verifies
accuracy of material to be filed.
14. Classifies
material when classification is not readily discernible.
15. Examines
microfilm and microfiche for legibility.
16. Disposes
of obsolete files in accordance with established retirement schedule or legal
requirements.
17. Copies
records on photocopying or microfilming machines. Types
labels or reports.
18. Types
reports, business correspondence, application forms, shipping tickets, and other material.
19. Files
records and reports, posts information to records, sorts and distributes
information, computes amounts and checks totals on report forms or bills. Types on or from
specialized forms. Makes copies ofcompleted work.
20. Contributes
to the effective team management of all relevant problems, issues and
opportunities.
21. Performs
other activities as necessary.

Marginal Functions will vary with the specific assignment and depend on the particular unit or function for which the person is responsible.
KNOWLEDGE
& SKILL REQUIREMENTS:
Requires a high school diploma or equivalent and some business coursework. Good organization skills, ability to prioritize and work through problems independently. Good communication skills and pride in neat output of work necessary.
