Calendar -- Sharing Your Calendar

Give Another Exchange User Access to your Calendar (note that you cannot share a calendar with a user who does not have an Exchange mailbox):

  1. On the View menu, make sure that Navigation Pane is selected (has a checkmark next to it).

  2. At the bottom of the folder list (below your shortcuts) there are some shortcut icon.  Click the Folder icon to make sure all folders (rather than just favorite folders) are displayed.   When this is correctly enabled, you will see icons for calendar, contacts, etc. as well as a folder that says Mailbox - Your Name (where Your Name indicates your mailbox name.  Ex. John Smith's mailbox would say Mailbox - John Smith).

  3. Open the mailbox and assign permission to the calendar:

    1. Right click on Mailbox - Your Name and select Sharing.

    2. Go to the Permissions tab and  click Add to open the address book and search for the name of the person you wish to give access to your calendar. 

    3. Highlight the name of each of those people you wish to grant access and click the Add button for each to add them to the list of those with access.

    4. Click OK to add them to the list and then OK again  to apply the changes to your mailbox.

    5. Right click on the Calendar folder (not the calendar shortcut button at the bottom)

    6. Select Sharing

    7. Go to the Permissions tab follow the directions in b and c above to add people to the list of those you wish to grant access to your calendar.

    8. In the list of names, highlight the names and select the appropriate permission for that user.  If you only wish the user to SEE your calendar without being able to change anything (or print the calendar), you need not assign a permission level but only need to check the Folder Visible box.  Regardless of permission level, make sure the Folder Visible box is checked.

    9. Repeat h for each user you are granting permission.

    NOTE:  If you wish to grant a user permission to your calendar and also wish them to be able to print the calendar, you may also need to grant permission to your task folder depending on calendar view.
