11.04.99.R0.10 Early Intervention for Freshmen

Effective September 1, 2001

1. Early intervention for freshmen is designed to communicate the University’s interest in their success and a willingness to participate fully to help students accomplish their academic objectives. The university through Advisement Services, faculty advisors and mentors will assist students who may be experiencing difficulty to focus on improvement and course completion. This procedure will allow students to be knowledgeable about their academic progress early in the semester and will provide faculty and staff with useful data for assisting students and enhancing retention.

2. Grade reports will be submitted by the faculty to the University Registrar for all freshmen at the end of the fifth week of the fall and spring semesters. Included in the grade report will be a place to mark identified risk factors: missed exams, absenteeism, performance in class and class participation.

3. The student’s projected academic status at the end of the semester will be calculated using the grade report and his/her current academic record. Students with a projected semester grade point average below 2.00 and a cumulative grade point average below 2.0 will be warned of possible scholastic probation or suspension and advised to contact their academic advisors.

4. The Registrar’s Office will provide grade reports to students, Advisement Services, academic departments (faculty advisors) and mentors by the end of the sixth week of the semester. This information will be used in advising students for pre-registration. Mentors should use the information to acknowledge and encourage the outstanding academic performance of mentees and to assist in remediation of freshmen as appropriate. Students projected for probation or suspension at the end of the semester will be contacted immediately by Advisement Services and faculty advisors as appropriate for academic counseling.

5. Faculty who teach freshmen will include in their course syllabi a statement explaining the Early Intervention Procedure and will schedule assignments or exams before the fifth week of classes so that grades may be reported.

6. The Early Intervention Procedure will be outlined in the Undergraduate Catalog.

7. Faculty will receive an email reminder from the Dean of Enrollment Management early in the semester regarding this procedure.

8. The Orientation/Admissions/Registration/Retention Committee (OARR) and the Faculty Development Committee will work with the Mentoring Program to assist faculty in making this process successful in improving student academic success.

9. The Dean of Enrollment Management and the Director of Student Retention, Orientation and Leadership will be responsible for providing annual training for faculty in implementing successful student intervention strategies.

10. This procedure will be evaluated annually by the Dean of Enrollment Management and the Dean of Students using faculty and student input.

11. Measurable outcomes will include the retention of freshmen from fall to spring and fall to fall.
