11.02.99.R0.03 University Auditorium Scheduling

Effective June 9, 1988

1. Scheduling of the University Auditorium shall be the responsibility of the Memorial Student Center Scheduling Coordinator.

2. The University Auditorium shall be scheduled only for recognized University student organizations or University departments. The event must have an audience of at least 200. There shall be no rental charge for the use of the Auditorium, however, there will be a service charge of $5.00 per hour to cover cost of employing a University sound and light technician. This fee will be charged at the set hourly rate during the time the Auditorium is open. (Ex. rehearsal and performance.)

3. The University President or his designee may permit the use of the Auditorium by a non-University organization. Any use by a non-University organization shall be charged a rental fee of $75.00 per hour with a minimum of two hours. The service fee for a University sound and light technician will be at the same rate as for University groups.

4. The Sam Rayburn Memorial Student Center “Room Reservation Form” shall be used for confirming all requests. Attached to the “Room Reservation Form” shall be a rider indicating light and sound requirements and specific regulations shall include, but not be limited to, the following.

a. The sponsoring organization shall be responsible for the conduct of all participants.

b. The advisor of the sponsoring organization/faculty person from a sponsoring department must be present for the entire event, including all rehearsals and set ups.

c. No eating, drinking, or smoking shall be allowed in the Auditorium.

d. The sponsoring organization/department shall be responsible for any damages resulting from any misuse of the facility.

5. The Director of the Physical Plant will:

a. Notify custodian who will be responsible for the houselights and the opening and closing of the Auditorium.

b. Provide custodial service after the event.

c. Report within 24 hours to the Scheduling Coordinator any problems or damages that occurred during the event.

d. Request University Security assistance in securing the building, should a custodian not be on duty at the close of the event.

6. Support Services will include;

a. A Graduate Assistant, assigned to the Memorial Student Center, will serve as a full-time technical operator.

b. Professional and technical support will be provided by the following departments: Speech Department, Music Department and Electronic Engineering.

c. There will be an operating/repair revolving account.

7. The University Auditorium Advisory Committee will include a representative from each of the following areas: Speech Department, Electronics Engineering Shop, Music Department (2), Dean of Students, Director of Memorial Student Center, head of Maintenance Department, Graduate Assistant in charge of Technical Facilities and two students.

The purpose of this committee is to advise in the areas of use, equipment or other items of extenuating circumstances.
